The free CRM built for wedding venues
A venue does two jobs: selling the date and, at many clubs and estates, planning the wedding. Track inquiries, tours, proposals, and retainers on the Vendor path, or choose Planner if your in-house team runs the day. Both are $0 a month with unlimited leads and clients.
We plan the wedding: In-house coordinators should choose Planner. That path includes the client portal, questionnaires, task board, preferred vendors, and a timeline-enabled wedding workspace.
We sell the date: The sales desk should choose Vendor, then specialty Venue. That path is the free CRM for inquiries, tours, proposals, contracts, and retainers.
Two venue jobs, two signup paths
Vendor with specialty Venue is the sales CRM: inquiries, tours, proposals, contracts, and retainers. It does not create a wedding workspace the venue owns. If your staff builds the timeline, questionnaires, vendor list, and day-of run of show, sign up as Planner. There is no fifth Venue role. The building is not a planner subcategory.
A wedding venue pipeline from first inquiry to booked date
Use this sales pipeline on the Vendor path. If coordinators then plan the wedding, move the booked couple into a Planner workspace rather than stretching the sales record into a day-of binder.
New date inquiry: Capture the couple, preferred date, guest count, spaces, budget range, source, and first message.
Tour requested: Schedule the walkthrough and keep the tour time, questions, and next action on the client record.
Tour complete: Record the spaces discussed, estimated headcount, catering needs, and follow-up date.
Proposal sent: Present the package, rental terms, inclusions, and payment schedule with the inquiry details attached.
Contract and retainer: Collect signatures, issue the first invoice, and keep the balance and due dates visible.
Booked event: Keep the sales documents together, then hand the couple to the planner workspace if your team runs the wedding.
See every open date inquiry
Keep preferred dates, guest counts, lead sources, last contact, tour status, and next steps in one visual pipeline.
Book with connected documents
Send proposals, e-signature contracts, invoices, and payment reminders from the same venue client record.
Run the wedding after the date is booked
In-house coordinators should choose Planner for the client portal, questionnaires, task board, preferred vendors, and a timeline-enabled workspace.
Give couples one branded portal
Clients can return to one place for their proposal, contract, invoices, questionnaires, appointments, and event details.
How the free plan works
Manual payments have no platform or Stripe fee. Online card payments include a 1% platform fee plus Stripe processing. Bank payments are 1.5% total, capped at $30 including Stripe's fee. Paid plans remove the platform fee.
Frequently asked questions
Should our coordinator choose Planner or Vendor? Choose Planner if your team plans the wedding for couples who book you. Choose Vendor, specialty Venue, if you sell the date, collect the retainer, and someone else plans the day. Venue is a vendor specialty, not a separate role.
Is this wedding venue CRM really free? Yes. The core CRM is $0 a month with no end date and no cap on leads, clients, proposals, contracts, or invoices. Planner and vendor accounts both keep the Free plan. Paid planning tools, extra weddings, team seats, and AI are optional.
Can I track venue tours and preferred wedding dates? Yes. Keep the preferred event date, consultation or tour appointment, venue details, notes, and next task on the client record. Use pipeline stages such as Tour Requested and Tour Complete to match your sales process.
Can a venue send contracts and collect retainers? Yes. The Free plan includes proposals, e-signature contracts, invoices, manual payments, and online payments through your connected Stripe account. The free-plan payment fees are explained above.
Does it include a venue client portal? Yes. Each client gets a branded portal for documents, payments, questionnaires, scheduling, and shared details without buying their own professional account.
We already signed up as Vendor. Can we switch? Yes. If specialty is Venue, the role picker offers Switch to Planner. Keep the vendor login for the sales desk if a different person books dates, and use Planner for the coordinators who run the wedding.
